Following our previous discussion on the benefits of using the Process Manager for process orchestration, we now want to explore the differences between setting up a business process on the Power Platform with and without the Process Manager. Recently, one of our clients, who has been using the Process Manager for years to create business processes that work both on Power Apps and the portal, decided to try implementing a new process without the Process Manager. Their reasoning was straightforward: everything is available on the Power Platform. The good news is that it’s indeed possible to create a business process using the Power Platform elements without the Process Manager. But the good news stops there.
When we look at the implementation time for the processes, we have to admit that it takes at least the same amount of time to set up the process. The discussions and the time lost are mostly in the details with the business. When creating the process in the application, most of the effort goes into timing the steps. You must ensure that one step doesn’t start before the other when the data is not ready yet, that an action is not executed twice because the trigger went off twice. You need to choose different ways of executing actions, taking into account the specific features of each approach.
What is hidden for the moment is that the overall view of how the process is set up is now concentrated with the main developer. He knows exactly how the process is put together. An exhaustive documentation phase is to be foreseen at the handover to production, as the run teams must be able to manage and process the issues that will arise with a number of dossiers.
In conclusion, while the Power Platform provides the necessary tools to create business processes, the Process Manager adds structure and clarity that greatly simplify the implementation process. It saves time, avoids errors, and facilitates collaboration between technical and business teams.
